Automation follows a repeatable process
- Form submitted: trigger
- Record the details: action
- Send confirmation: action
Work through one fictional registration
What Zapier, Make and n8n do
Build it in a test space, if you choose
Subject: We received your workshop request Hello [name], We received your request for the [session] workshop. This message confirms receipt only; the organiser will confirm availability separately. Please contact [confirmed organiser contact] if you need to correct your details. [Organiser name]
Test the failures, not just the happy path
For your own review. These ticks are not saved or graded.
Go further: conditions and duplicate prevention
Practise a partial-failure recovery
TEST-001 is in the sheet with “email failed”. Re-running the entire workflow could duplicate the record. First confirm that no email was delivered. Then retry the email action for the existing record and update its status. If delivery is uncertain, investigate rather than repeatedly sending.
Go FurtherOptional challenge. Come back whenever you’re ready.
Draw two branches: allowed session → continue; unknown session → manual review. Before recording, look up the submission ID. If it already has status “sent”, stop. If it has “email failed”, review and retry the email step without adding another row.
A simple spreadsheet lookup can still race when two identical events arrive together. For more demanding systems use a unique constraint or a tool-supported idempotency mechanism, and account for a crash after sending but before recording success. Do not claim “exactly once” delivery from a lookup alone.
When the best automation is a reminder

Duplicate key: [unique event identifier]. If a step fails: [status, alert and safe retry]. Test cases: [normal, invalid, duplicate, partial failure]. Owner and review schedule: [person and frequency].
